Choosing a venue is usually one of the first big decisions a couple makes — and one of the most emotional. It's easy to fall for a setting and sign before asking the questions that actually determine whether the day runs smoothly. Here's what's worth working through before you commit, beyond whether it's beautiful.

Capacity — and what "capacity" actually means

A venue's stated capacity is rarely one number. Ask specifically:

  • What's the seated dinner capacity, versus the reception or ceremony capacity? These are often different, especially if furniture needs to be reconfigured between parts of the day.

  • Is there a realistic overflow option if your guest list grows?

  • If the ceremony is planned outdoors, what's the indoor backup capacity — and is it the same space, or a compromise?

A venue that comfortably fits 120 for a cocktail reception may feel very different — and seat far fewer — for a full seated dinner.

Exclusivity

Ask directly: is this venue exclusively yours for the day, or could there be another event running in parallel, or immediately before or after? Shared-day arrangements aren't necessarily a problem, but they do affect setup time, noise, parking, and how much the space genuinely feels like yours. This should be stated clearly in the contract, not assumed.

Catering rules

Catering is one of the areas couples are most often surprised by after signing.

  • Is catering in-house and mandatory, or can you bring an external caterer?

  • If external caterers are allowed, is there an approved list, or genuinely open choice?

  • Is there a corkage fee if you supply your own wine or spirits?

  • How flexible is the kitchen with dietary requirements and custom menus?

An in-house-only policy isn't automatically a downside — some in-house teams are excellent — but it does remove a decision you might otherwise want to make yourselves, so it's worth knowing upfront rather than discovering it later.

Coordinator policies

This is one of the most commonly overlooked questions, and one of the most consequential. Some venues have an in-house coordinator or venue manager who handles the building and its operations. Others require you to bring your own. Some allow both.

Ask specifically whether the venue requires you to use their in-house coordinator, allows an external one alongside their venue manager, or has no coordination support at all beyond the building itself. These are three very different situations with very different implications for who's actually managing your day — worth understanding fully before you book. (We cover this distinction in detail in a separate guide: Do You Need a Wedding Coordinator if the Venue Has One?)

Availability

Popular venues in Sweden — particularly for summer dates — are frequently booked twelve months or more in advance. Ask about their typical booking window for your season, and whether certain dates carry a premium. If you have a flexible date, ask which days of the week or times of year offer more availability and, often, better rates.

Hidden costs

The quoted venue fee is rarely the full picture. Before signing, ask about:

  • Overtime fees if the event runs past the agreed end time

  • Cleaning or damage deposits, and what they cover

  • Minimum spend requirements on catering or bar

  • Whether furniture, linens, or basic styling are included or charged separately

  • Insurance requirements — some venues require couples to hold event liability insurance

None of these are unreasonable on their own. The problem is only ever when they surface after the contract is signed, not before.

Bringing this list with you

Walking into a venue tour with these questions already in hand changes the conversation — venues take a prepared couple more seriously, and you'll walk away with a genuine comparison instead of just an impression.

If you'd rather not manage this alone, this is exactly the kind of groundwork an experienced coordinator has already done, repeatedly, across the venues in their region — including which venues are genuinely flexible, and which ones only look that way in the brochure.
