What does a wedding coordinator in Sweden cost?
A full day of coordination in Sweden rarely costs less than SEK 30,000 incl. VAT.
Here is what that covers, and why it is worth it.
The coordinator is on site for about 12 hours, but the job usually entails around 40 hours of work. Most of it happens before the day, and it rarely shows up in a quote.

Day-of coordination starts long before the wedding day
A common misunderstanding is that a day-of coordinator simply turns up at the wedding, takes over the couple’s planning and makes sure everything runs smoothly. It is not that simple.
Most couples are planning their first wedding, so it is only natural not to know what needs to be in place, which details are crucial, or how long different moments actually take. A run sheet can look great on paper and still be impossible to carry out in real life.
That is why a coordinator does not just receive a finished plan. They also need to review it, complete it and quality-check it.
Let us take a closer look at the actual hours in this case
| Task | Approx. time |
|---|---|
| Meetings and follow-up with the couple, including the toastmaster | 9 h |
| Vendor contact and gathering information | 3 h |
| Run sheet: writing and revising | 4 h |
| Review and quality check of the plan | 3 h |
| The week before and preparations | 3 h |
| The wedding day | 12 h |
| Wrap-up after the event | 2 h |
| Ongoing contact, changes and problem-solving | 4 h |
| Total approx. | 40 h |
This is a simplified example. For larger weddings an on-site assistant is added (approx. 8 h). Actual time varies with vendors, logistics and the number of changes.
So you wonder, where does SEK 30,000 we pay go?
| Where it goes | Approx. SEK |
|---|---|
| VAT | 6,000 |
| On-site assistant (if applicable) | 2,600 |
| Kept in the business: bookkeeping, insurance, marketing and quiet months | 6,000 |
| Tax and social contributions | 7,200 |
| What remains for the coordinator, after tax | 8,200 |
| Total | 30,000 |
That is roughly 205 SEK per hour for the coordinator to take out in the end. A more experienced coordinator works more efficiently, but that experience is also reflected in a higher fee.
What you are really buying
You are not buying twelve hours on site. You are buying experience that solves problems before they show, a run sheet every vendor actually follows, and not having to carry the logistics and crisis management on your own wedding day. You also avoid weeks of chasing replies, and mistakes that are often more expensive to fix than to prevent.
The day cannot be redone. Care and experience are not the same thing, and your day deserves both.
If the full price is out of reach
There are still ways forward:
A smaller scope. Many coordinators can help with a defined part, such as the run sheet and vendor contact, without being on site all day. Book a Planning Session with a planner.
Plan it yourselves, with support. Our planning checklist and timeline template give you a clear structure to work from.
Tell us your budget. You do not need to have everything figured out. Be open about it in the matching, and we will tell you honestly what is possible.
