How to plan a wedding in Sweden

A complete guide for anyone planning a wedding in Sweden

Planning a wedding in Sweden is one of the most rewarding things you can do. It can also be, if you're not careful, very consuming in both time and money. This guide covers the entire process, from the first conversation after your engagement to the moment you walk back up the aisle, with specific guidance on what to do when, what to watch out for and what Sweden-specific factors you need to understand.

Step 1: Enjoy your engagement first

Before anything else, take a moment to actually celebrate. Pop the champagne. Tell the people who matter. Let the excitement exist before the planning begins. The planning will still be there in a week.

Step 2: Have the fundamental conversations

The first real planning step is a conversation, not a venue search. Sit down together and talk about what you actually want. What is your vision? How many people? What kind of day — intimate and quiet, or a full celebration? How involved do you want to be in the planning? What's the budget? Who's contributing financially and what does that mean for decision-making?

Getting aligned on these questions before you start looking at venues and vendors will save you months of complications later.

Step 3: Set your budget

A real one. Not a rough idea — an actual number, based on what you genuinely have available and are willing to spend. Include savings, any contributions you've received (not expected — received) and any money set aside specifically for the wedding. Never plan around money you don't yet have and are willing to use. Never take a loan for a wedding.

Once you have the number, allocate it in broad strokes. Venue and catering will typically account for 40–60% of a Swedish wedding budget. Photography, coordinator and decor such as flowers are the next tier. Stationery, transport and miscellaneous costs round out the rest.

Our budget planner is available in The Planning Room and covers every category in detail.

Step 4: Define your priorities

You cannot have everything — and trying to will exhaust you. Decide, together, on the three things that matter most to each of you. The venue, the food, the photographer, the music, the flowers — whatever they are. Those three things get the best of your budget. Everything else serves them.

Step 5: Sort the legal requirements

In Sweden, getting legally married requires completing a process called hindersprövning — a formal check that there are no legal impediments to the marriage. Swedish citizens can apply online directly to Skatteverket. International couples need to gather certified documents including birth certificates, passports and a certificate of no impediment from their home country.

None of your documents should be older than three months when submitted. The approved marriage licence is valid for four months. Start this process at least eight weeks before your wedding date and keep a close communication with Skatteverket if the process takes longer than two-three weeks.

Step 6: Choose your date

Your date determines everything else. It affects venue availability, vendor availability, the season and the weather you're planning around. Summer dates — particularly June, late July and august — book earliest. If you have a specific venue or vendor in mind, check their availability before you commit to a date.

Step 7: Build your guest list

Your guest count affects your venue size, your catering cost, your stationery quantity, your transport needs and your seating plan. Know your approximate number before you start venue searches, and revisit it regularly as the planning develops.

Send save the dates as soon as your date and venue are confirmed. For destination guests or anyone travelling from abroad, nine to twelve months notice is appropriate.

Step 8: Find your venue

The venue sets the tone, the scale and the logistics of your entire day. Visit in person if at all possible — photographs show you what a venue can look like, not how it feels. Ask about exclusivity, catering arrangements, coordinator policies, what's included in the hire fee and what costs are added on top.

Sweden's most beautiful venues — herrgårdar, Arctic retreats, island properties — book 12 to 18 months in advance. For popular summer dates, earlier is always better.

If you'd like guidance, our Find Your Venue form connects you with venues from our curated network — or our coordinators can help you find something beyond it.

Step 9: Book your coordinator and key vendors

Coordinator, photographer and caterer should all be confirmed before moving on to secondary vendors. These are the three roles most likely to be fully booked for your date. Everything else can follow once those foundations are in place. If you are planning the wedding yourselves, we also recommend booking a planning session to help create structure, priorities and a clearer plan moving forward.

When evaluating vendors, always ask for a written quote with clearly defined deliverables. Always have a signed agreement before paying anything. Always check that the person you meet is the person who will be there on your day.

Step 10: Plan the ceremony

Sweden offers civil and religious ceremony options. Civil ceremonies are the most common choice for both Swedish and international couples — they can be held almost anywhere, are fully customisable in terms of content and structure, and require only an authorised officiant and two witnesses.

You can choose your entrance music, include personal vows, invite a guest to read or speak, and shape the ceremony to feel genuinely yours. Your coordinator can guide you through every option.

Step 11: Build your day-of timeline

The timeline is the structural document that holds the entire day together. It covers every moment from the morning preparation to the last dance, includes all vendor arrival times and contact information and is the document your coordinator will run the day from.

Building the timeline is one of the most important things you'll do in the planning process. Our timeline template is available in The Planning Room — it covers every stage of the day and is designed to be adapted to your specific wedding.

Step 12: Final preparations

Six weeks out: all documents confirmed, all vendors confirmed in writing, timeline in draft.

Two weeks out: final timeline sent to all vendors, seating plan finalised, any outstanding payments confirmed.

The week before: emergency kit prepared, final briefing with your coordinator, nothing left to decide.

The night before: rest. Everything is in place.
