Title: Why You Need a Written Agreement With Every Single Wedding Vendor

If there is one piece of advice that experienced wedding professionals give consistently — across every market, every budget, every style of wedding — it is this: get everything in writing. Every single vendor. Every single time. Without exception.

This post explains why, what a good agreement should include and what can go wrong without one.

Why written agreements matter

A verbal agreement — however warm the conversation, however much you trust the person — is not a legally enforceable contract in most jurisdictions. It is your word against theirs. In the event of a cancellation, a no-show, a significant change in what was delivered or a dispute over payment, you have very little to stand on without a signed document.

Weddings are high-value, high-emotion events with hard deadlines and no second chances. There is no opportunity to redo the photography if the photographer delivers less than what was discussed. There is no way to recover the day if the catering team shows up unprepared. Written agreements do not prevent every problem — but they create the basis for resolution when problems occur.

What a good vendor agreement should include

The basics: the names of both parties, the date and location of the wedding, the exact scope of the services being provided and the total price including any additional costs or fees.

The important specifics: exactly what is included (hours, deliverables, number of photos, meals included for the vendor, overtime rates), what is explicitly not included, payment schedule and terms, cancellation policy for both parties, what happens in the event of illness or an emergency on the vendor's side (substitute, refund policy), how and when the final product will be delivered.

The things couples often miss: travel costs, accommodation costs if the vendor needs to stay overnight, equipment costs, whether the vendor may use images from your wedding for their own marketing (and whether you need to consent to this), and what constitutes a breach of contract and what the remedies are.

The vendors where agreements matter most

Every vendor should have a written agreement, but the stakes are highest with photography, videography, catering, the venue itself, your coordinator and any vendor providing a custom product (cake, stationery, florals). These are the areas where misunderstandings are most costly and most difficult to resolve without documentation.

A note on vendors you trust

The most common reason couples skip written agreements is that they're working with a friend or someone they've been warmly recommended. This is exactly the situation where a written agreement protects both sides. It removes ambiguity, sets clear expectations and means that if something goes wrong, the friendship or the relationship doesn't have to absorb the fallout. A professional will never be offended by a request for a written agreement — it is standard practice. If they are, that's a red flag.

At The Wedding Agency, written agreements are a non-negotiable standard for every coordinator in our network. It protects our couples, it protects our coordinators and it is simply the professional way to work.
